Privacy Statement

This statement explains how Valentia Technologies (NZ) Limited (“Octans”, “we”,“us”) handles personal information collected on our public website. It does not cover use of our SaaS platform; for that, please see the Subscriber Privacy Statement and Consumer Privacy Statement published on our website, and the applicable contract terms. 

1. What personal information we collect 
1.1        Information you provide: name, contact details, company/role, and the content of enquiries or feedback submitted via forms or email. 

1.2        Technical information: IP address, device and browser type, pages viewed, time/date, referral source, and general location derived from IP. 

1.3        Cookies and similar technologies: identifiers used for session management, preferences, fraud prevention, and basic analytics (see Section 5). 

1.4        Recruitment (if you apply): CV/resume details, cover letters, and interview notes you or referees provide. 

2. Why we collect and use personal information 

2.1        To respond to enquiries, provide information you request, and manage our relationship with you. 

2.2        To operate, protect, and improve the website (including diagnostics, fraud prevention, and analytics). 

2.3        To manage events, newsletters, or updates if you opt in, and to comply with legal obligations. 

2.4        If you apply for a role, to assess your application and manage recruitment. 

3. Legal basis  

3.1        We handle personal information in line with the Privacy Act 2020. 

3.2        For EU/UK visitors (where relevant), we may rely on consent (e.g., for non-essential cookies), legitimate interests (site operation, security, analytics), contract (pre-contract enquiries), and legal obligations. 

4. Disclosures 

4.1        We share personal information with service providers who help us run the website (hosting, security, analytics, email delivery) under contract and appropriate safeguards. 

4.2        We may disclose information if required by law or to protect people, property, and systems. 

4.3        We do not sell personal information. 

5. Cookies and analytics 

5.1        We use essential cookies to make the site work (for example, to remember basic settings or manage sessions). 

5.2        We use limited analytics to understand site usage in aggregate. Where required, we will request consent for non-essential cookies. 

5.3        You can manage or block cookies in your browser; blocking essential cookies may impair site functionality. 

5.4        Typical third-party providers include hosting/CDN, analytics, performance monitoring, and security services. Providers and their settings may change over time.

7.1        We apply reasonable technical, organisational, and physical measures to protect personal information collected via the site. No system is completely secure.

8.1        We keep enquiry records and related correspondence for as long as needed to manage our relationship and meet legal obligations, then delete or anonymise them. 

8.2        Web logs and analytics data are retained only as long as necessary for security and performance insights.

9.1        You may request access to or correction of your personal information we hold about you by contacting us(details below). 

9.2        You can opt out of non-essential emails by using the unsubscribe link or by contacting us. 

9.3        If you interact with our SaaS platform (e.g., booking or chat), please refer to the Consumer or Subscriber privacy statements for how those interactions are handled.

10.1    Our website may link to or embed third-party sites or services. Their privacy practices are their own. We encourage you to read their policies.

11.1    We may update this statement to reflect changes in law, technology, or our practices. The updated version will be posted with the new “Last updated” date.
